Terms & Conditions

  • “Event” means any of the running races that form part of Ultra Trail Jervis Bay – this includes the Kids 2.5km Mini Ultra, 20km Beach Burn, 53km Coastal Ultra and 106km Mega Trail.
  • “Event Organisers” means R and A Australia Pty Ltd t/as Ultra Trail Jervis Bay.
  • “Entry” means a purchased registration to the Event for a specific race from the Event Website.
  • “Entry Fee” means the cost of purchasing an Entry to the Event and includes all booking fees and National Park entry fees.
  • “On Course Race Rules” means the conditions and requirements governing the individual races as made available on the Event website.
  • “Race Crew” means employees or affiliates of the Event Organisers or volunteers acting under the direction of the Event Organisers.
  • “Runner/s” and “Entrants” means any person who has purchased an Entry to the Event by paying Entry Fee on the Event website and is participating or intending to participate in the Event.
  • “Release of Liability and Acceptance of Risk Document” as available on the Event Website
  • “We”, “Us” or “Our” means the Event Organisers
  • “Terms and Conditions” means these terms and conditions relating to the Event.
  • In order to participate, each Runner must purchase a valid Entry, pay the Entry Fees, follow the registration process to acquire the relevant bib and display their bib at all times.
  • Participating in a different distance than has been purchased, or under an Entry that has been purchased by another person is strictly prohibited and will result in immediate disqualification.
  • All Runners must meet the minimum age requirements being the following:
    • Kids 2.5km Mini Ultra – minimum age of 5 maximum of 14
    • 20km Beach Burn – minimum age of 14
    • 53km Coastal Trail / 106km Mega Trail minimum age of 16 subject to the Youth Runner Program criteria being met.
  • Apart from the terms stated above, there are no specific qualification requirement for any of the Event races. Runners are expected to be well prepared and have a level of fitness and experience appropriate for the race they have entered. This is a coastal trail event with relatively modest elevation gains overall.  However there are numerous steep climbs, technical and rough terrain and stretches of beach running. The course is in a remote setting that is exposed to full coastal winter weather. Temperatures can drop below 5 degrees not accounting for rain and wind-chill. Runners need to be prepared for all conditions. It would be expected that any Runner entering the 106km Mega Trail has previously completed 50km trail events or numerous training runs at that distance (at a minimum) and be experienced in night running.  Runners should seek independent medical advice and be sure they are adequately prepared for the conditions, terrain and exposure. Our goal is to grow the trail running community and ensure Runners push their boundaries while being well prepared physically and mentally for their Races.
  • Any Runner that voluntarily withdraws during the event, or is withdrawn by Event Organisers due to health and safety, not meeting any cut off times or for a breach of Race Rules will not receive a refund of Entry Fees or any other purchases.
  • Runners are entitled to the following refunds:
    • Until 5pm on 30 March 2025: 50% of the Entry Fees; then
    • Until 5pm on 30 April 2025: 25% of Entry Fees
    • Refunds will not be provided for any merchandise or other products purchased in addition to the Entry Fees.
    • In addition to Refunds offered, each Runner has the option to purchase Ticket Insurance during the entry registration process. This insurance is offered by Race Roster and is independent of the Race Organisers. It allows for a claim on any un-refunded Entry Fees where Runners cannot attend the Event under certain circumstances. Further Information on Ticket Insurance can be found HERE.
    • Transfers between Runners and Events are permitted until 1 week prior to the Event. A transfer fee of $20 is applicable to all transfers (in addition to any Entry Fees applicable). To transfer your entry, just log in to your Race Roster Portal.
    • Transfers are not permitted to any events that are sold out.

The Ultra Trail Jervis Bay Event Guide will outline the best areas to spectate and access checkpoints for Support Crews. Please note that the majority of the course is on publicly accessible trails and National Park areas. However, within certain areas of Booderee National Park there is very limited parking and road infrastructure. In order to keep the race safe and allow National Parks to approve the Event, there will be restrictions on support crews and spectators accessing these areas. It is a condition of Event entry that all Runners and their support crews make themselves aware and follow these restrictions, park only in designated areas and follow all road rules when spectating or supporting their Runners. We also ask support crews to make way for others once their Runners have moved on.

By entering the Event each Runner confirms that they have read and understand all Race Rules available HERE and agree to abide by these at all times. If a Runner breaches the Race Rules and the breach is deemed serious, at the sole discretion of the Event Organisers, the Runner may be disqualified immediately from the Event.

We want Runners to push themselves hard and do things they may have not thought as possible. Cut off times and first aid safety checks are there to keep Runners safe while pushing their boundaries. Please note that in the event that the medical safety team deem it unsafe for a Runner to continue, a Runner fails to meet cut off times or it’s clear that they will not meet the next cut off time, the Runner will be withdrawn from the Event. This is at the discretion of the Event Organisers based on medical advice.

All Runners confirm that they have read, understood and agreed to the Release of Liability and Acceptance of Risk document as part of the Entry process. This confirms that Runners understand the risks of participating in the Event and accept these. The Event Organisers do not have any responsibility for any personal property, travel costs, medical costs or any other costs borne by the Runners as part of, or as a consequence of, participating in the Event, nor are they responsible for any injury suffered as part of the Event.  Support crews and spectators are responsible for their own safety and the their personal belongings.

By entering the Event, each Entrant acknowledges that the Race Organiser’s insurance coverage does not extend to any personal medical expenses incurred as a result of participation in the Event, including ambulance cover. Further, there is no insurance for any personal equipment, travel costs or any other costs incurred by the Entrant, their families or support crew. It is up to each Entrant to ensure they have relevant Health Insurance in place to cover any medical expenses, including ambulance cover. Note that the Event is fully supported by a first aid medical team. This is covered by Entry Fees – any first aid provided by the Event Organisers will not incur any additional costs for the Runner.

All Runners and their support crews agree to follow the directions of the Race Crew and Event Organisers during the Event. We ask all participants and their support crews to be kind to our Race Crew, volunteers and other runners. Behavior that is aggressive, disrespectful or negatively affects the experience or safety of other people or the environment will not be accepted and may result in a disqualification.

All runners and their support crews entering Booderee National Park agree to follow all Park Rules and direction of Park Rangers and staff – including purchasing park entry passes (note that the Runners park entry fees are part of the Entry price). It is up to the support crew to follow all road rules, parking rules and restrictions at all times when spectating or supporting their Runners.

By entering the Event, there is an acknowledgement that there may be circumstances beyond the control of the Event Organisers that preclude the Event from going ahead at the specified time and date. These include closure of Booderee National Park, Jervis Bay National Park or Shoalhaven Council managed areas due to public safety reasons – for instance due to bushfire or extreme weather events. In these circumstances, the Event Organisers will be working with Booderee National Park and National Parks ahead of the Event date and endeavour to communicate any potential cancellations or postponements as soon as is practical. If an alternate date is not possible the Event may be cancelled. Under these conditions, the Event Organisers do not guarantee any refunds or partial refunds of any Entry Fees.
